Information used for a rental

We collect the adult renter’s name, email, telephone number, identification type and number, requested instrument, size, date and rental correspondence. Do not provide a child’s identification details. Payment screenshots are used to match payments; please crop out unrelated bank balances and transactions before uploading.

Purpose and access

Contact and booking information is used to respond to the request, arrange collection, manage the rental contract, match payments and send service and renewal messages. Identification information is kept in protected storage for rental administration and handover checks. An identification number is not a password or a substitute for verifying the person at handover.

How information is protected

Identification numbers are encrypted in storage and masked in the administrator view. Payment images are kept outside the public website directory. Authorised administrators can access records required for their work. Notification emails contain booking summaries and secure links, not full identification numbers or payment screenshots.

Service providers and retention

Website hosting and email providers process information needed to run the service. We keep rental records only for as long as they are reasonably required for the rental, settlement, disputes and applicable record-keeping obligations. Identification data and payment images should be removed when no longer needed. You may contact us to request access, correction or a review of retention.

Your choices

Contact us before submitting a request if you have questions about identification collection or prefer to discuss an in-person arrangement. Withdrawing consent may affect our ability to administer a rental. We do not add rental applicants to marketing lists through this form.

Cookies

This website uses essential session cookies for forms, administrator sign-in and private rental pages. We do not use advertising trackers in the rental portal.
